For example, I need to share content snippets from my blog to my social media accounts whenever I upload a new article.

There are 2 ways to do it:

Task automation means automating repetitive and time consuming task management. It’s all about doing the boring stuff for you.

Workflow automation connects your apps and makes them work together. It handles multi-step processes so you don’t have to.

For example, I created this automated social media content distribution system.

The row with content is randomly selected from Google Sheets, and the content is automatically published to all specified social media accounts.

Process automation

Process automation handles bigger business processes. It simplifies process management, like managing invoices or onboarding new employees.

ETL automation

ETL stands for Extract, Transform, Load. This type of automation is used to manage and process large datasets.

How to choose the best workflow automation tool?

I won’t bore you with technical jargon or complicated explanations. You don’t need to be a tech genius to choose the right automation tool.

Just focus on these 6 key factors:

  3. Flexibility
  4. Scalability
  5. Affordability
  6. Reviews

1. What is your use case?

Start with the basics—what do you need the tool to do?

List down the integrations you need and what extent of automation you’re looking for.

For example, if I want to automate my content marketing workflow, I’ll be looking for tools that can integrate social media, marketing tools, and Sheets.

For this article, I’ve selected tools that can automate most of the tasks a small or medium sized business would want to automate.

2. Are you a nerd?

How tech-savvy are you and how much technical knowledge do you have?

Ask yourself: Do I want something simple and ready to go? Or am I okay with a bit of coding to unlock more options?

No-code tools are perfect if you’re not a coder. They come with a clean and simple graphical interface that’s easy to navigate and offers visual workflow building.

You can set up workflows or automate tasks without touching a single line of code.

Low-code tools offer more customization.

They’re ideal if you don’t mind rolling up your sleeves and diving into some basic coding.

With these tools, you’ll need to read through documentation to understand how to use the code snippets, APIs, or SDKs they provide.

It’s a bit of work, but the results are highly tailored workflows that fit your exact needs.

Think about how much "nerdiness" you’re comfortable with, and pick a tool that matches your skills.

I’m looking for tools that don’t require coding skills so I’m going to look for no-code tools. Plus I’m also going to check if they have proper video or blog tutorials.

3. Does it bend to your rules?

No two businesses are the same, so your automation tool needs to adapt to your unique needs. Flexibility means how much you can customize the tool to fit your needs.

The more customizable a tool is, the more value it brings to your automation game. Some tools offer pre-built templates, which are great for quick setups.

But the best ones also give you the freedom to start from scratch and build exactly what you need.

Look for tools that can grow with your business and adapt as your workflows evolve.

I’m looking for tools that can literally automate my entire workflow to the last step.

4. How scalable is it?

Can the tool handle more tasks, users, or workflows as your needs grow? Some tools work great at the start but can’t keep up when your business gets bigger.

Check if the tool offers flexible pricing and higher limits as you scale. Look for features you can unlock when you’re ready to take things to the next level.

A scalable tool saves you from switching platforms down the road. Start small, but make sure the tool can grow with you.

To give you an idea of scalability, I checked the highest pricing tiers of each tool and compared how many tasks per month they can handle at max.

5. Can your wallet handle it?

Even the best automation tool isn’t worth it if it burns a hole in your wallet.

Find a tool that fits your needs and your budget.

After all, automation is supposed to save you time and money—not just time.

Start by checking if the tool offers a free plan or a trial. It lets you test the waters before committing.

If you’re on a budget, free plans can often handle basic workflows, so you won’t need to pay upfront.

For paid plans, look at what you’re actually getting. Does the tool offer value for money?

A higher price might be worth it if the tool saves time, reduces errors, and scales with your needs.

But if you’re not going to use half the features, it’s better to go for something simpler.

I’ll prefer tools that offer a free plan, I don’t want to spend money just to test an automation tool.

Lastly, do check what users say about the tools.

Zapier is excellent for workflow automation. It connects to virtually any app your business might be using.

Plus it's super easy to use. Just set up Zaps using its simple drag-and-drop interface and you're done.

It’s perfect for creating complex workflows. You can add multi-step processes and conditional logic to make your automation smarter.

It also offers AI powered workflow building. You can create complex workflows just by typing a prompt.

If you’re looking for a highly scalable tool for workflow automation that can handle basic ETL automation too, Zapier is the ideal choice.

It offers you the largest app library in the market with most customizable workflows in any no-code automation tool.

2. Make

Make is a Czech based workflow automation platform founded in 2016. It’s become my personal favorite since I started using it.

  4. Custom JavaScript functions
  5. API integration
  6. Live monitoring and error handling

You can integrate it with 2000+ apps, not as great as Zapier, but better than most of the automation tools out there.

Make is great for workflow automation, especially if you need flexibility. You can build workflows with its easy drag-and-drop interface, just like Zapier.

It also lets you add custom functions using JavaScript which gives you way more control to handle custom workflows.

But the user interface is a little complicated, you’ll need to watch some training videos to understand it properly.

Why is it my favorite?

This thing is damn flexible. It’s the most flexible no-code workflow automation tool I’ve ever used.

Once you understand how it works, you can make literally anything with it. You can modify actions, logics, routes, literally anything you want.

The only reason Make is on #2 is its steep learning curve and less integrations than Zapier.

I really wanted to place it on #1 spot but for this article, I’m considering number of integrations and ease of use as primary factors.

It’s as scalable as Zapier. You can automate up to 2M operations (same as tasks in Zapier) without needing a custom plan.

I’ve been a Zapier user for a long time. I recently tried Make for this article and it’s surely my new favorite automation tool.

It’s most affordable and offers more flexibility than other automation tools, especially its biggest competitor – Zapier.

I used Make and Zapier to automate a blog's content ideation and content distribution.

Its responses are faster than Zapier, I was able to tweak more things, and obviously it’s 6 times cheaper than Zapier.

Relay is a US based workflow automation service founded in 2021. It was recently recommended by a colleague and it’s definitely worth a spot in my list.

Relay offers 100+ integrations with popular apps and is one of the easiest to use tools in the niche.

It was not part of my initial list and someone suggested it a day before I started writing.

I loved the easy to use, intuitive interface and range of features this tool offers for work flow automation.

Relay App’s AI workflows are way better than Make and Zapier.

You’ll need to integrate AI service and create separate routes in Make and Zapier to let AI make decisions.

Relay App offers this feature by default, no need to set up AI separately for decision-making.

Also, the other 2 services offer fully automated workflows. What if I want the workflow to take my input at some stage?

Relay does that. It allows human interactions where needed. You can choose when the workflow waits for your response and when it can carry tasks automatically.

Plus it really takes team access to the next level. You can assign roles and specific tasks to each team member.

Pricing and scalability

  1. Free 200 steps (equivalent to tasks) per month
  2. $3.5 per 1000 steps

It's a pretty scalable tool. You can automate up to 300k steps per month without needing a custom plan. If you need more, you can get a custom plan too.

This tool is definitely for lazy peeps. I already told you about the AI workflow creation. But what if I don’t want to type anything?

Integerately’s main highlight is 20M+ ready-made integration templates. Just like Zapier’s Zaps but at a larger scale and better logic.

It’s not a scalable tool. You can only automate up to 150k tasks per month, so it’s not suitable for businesses who need data automation at scale.

The best thing about this tool is that you can launch, set up, and manage workflows from a mobile app. You get real time notifications too.

For personal workflow automation, it’s the best option in the market. Though it doesn’t link to business tools like email marketing services and CRMs.

IFTTT is actually the most affordable solution too, but since it doesn’t offer business workflow automation, it’s not suitable for businesses and teams.
